Beginning the 2021-2022 academic year, we will be accepting verification documents electronically.
Each year when you apply for financial aid, you have a chance of being selected for a process called verification. This process is required by the U.S. Department of Education in an effort to ensure the accuracy of financial aid applications. Students now have the option to securely upload their documents online from their phone, tablet, or computer!
Student Forms is our secure process that allows students and parents to upload and electronically sign documents.
When you log in to your RamPort account you will see that if you have outstanding requirements and will be provided instruction on creating an account. When you log in for the first time he/she is required to create an account through Student Forms by clicking on the Create Account link located at the bottom of the login screen.
When the student identifies which parent they are requesting a signature from, that is the only parent that will be able to sign the document, unless the student goes back into the task and edits the selected parent.
The parent will need to notify the student if the information on the document is inaccurate and needs to be changed. The student will need to make this change and re-request the signature.
The first time that a parent is requested to e-sign a document they must create an account. Subsequent documents that require e-signature, the parent may use the same username and password to login.
For ISIRs, the parent must pass the check with the Social Security Administration on their Name, DOB, and SSN for the student to get the e-sign option. If at least one parent does not pass the check, the student is automatically opted out of e-sign. If the parent does not have a SSN and enters all zeros for the parent SSN on the FAFSA, the check with SSA is not performed and the parent is not eligible for e-signature. If only one parent passed the check with the SSA, the student may only send the e-sign request to the parent who passed the SSA check.
Once you log in, you will see the tasks that are being requested of you. For example, you might see, “Below is a list of items that the Office of Financial Aid and Scholarships needs you to complete for the financial aid verification process.” As you work through the items, it will update in real time with documentation that is needed from you based on your responses.
Yes, you can. You will be directed to create a PIN and that will be your electronic signature going forward. You can also click Opt Out of E-Sign which will allow you to download the document, print it, sign it with your wet signature, and upload it back into your task.
Yes, after a student has e-signed their document, they are presented with a step to request parent signature.
You’ll click the Request button and a pop-up showing the parent(s) listed on the financial aid application will appear.
Click the parent you would like to electronically sign the document (NOTE: if you have two parents listed on your financial aid application, only the parent you choose will have the ability to sign the document.)
The parent will receive an email notification letting them know that a document needs their signature – They will need to create an account if they have not already.
The parent can review and electronically sign the document through their account.
Important: The parent will need to notify the student if the information on the document is inaccurate and needs to be changed. The student will need to make this change and re-request the signature.
For FAFSA Filers: If the parent does not have a valid SSN, they will not be able to electronically sign and neither will the student. The student will instead click Opt Out of E-sign which will allow them to download and print the document so that both the student and parent can provide wet signatures. Once the document has been signed, the student will upload it.
Prior to July 3, 2020, when a parent had multiple students attending the same institution and needed to e-sign documents for the students, the parent was required to create separate accounts for each student for whom they need to provide an e-signature for on a document. Now, if a parent is creating an account and has multiple students attending the same institution, the parent can link to each student’s account.
If additional documents are needed, you will be notified in a couple of ways:
Text Message: Students that provide their cell phone information upon creating an account will be notified via text message.
Email: You will also receive an email to your Angelo State email.
After the student has logged in, they are taken to their task list. It will read as, “Below is a list of items the Office of Financial Aid and Scholarships needs to complete for the financial aid verification process. Click on any section to view the detailed list of requirements.”
The task will disappear once the review process has been completed.
If the school rejects a document back to the student, the task is re-opened on the student side and has an indicator for the student to review. The notes typed in when the school user rejected the document are displayed to the student. the step indicator also goes back to indicate that it has not been completed.
Yes you can.
While we have transitioned to an online form submission process, there are still documents that may be required to be submitted outside the online platform.
